Privacy Policy

This policy applies to setsactivations.com (the “Site”) and to the business communications we exchange with prospective clients, clients, vendors and field talent applicants. We are a business-to-business service provider, and the information we collect is overwhelmingly business contact information provided on behalf of an organization.

This policy does not apply to third-party websites we link to, or to the separate privacy practices of clients whose events we staff.

We collect information voluntarily submitted through the quote request form on the Site, by email, or via direct communication. This information primarily includes client contact details (such as name, job title, company or brand name, work email address, and phone number), activation specifics (including event dates, target markets, requested headcount, shift duration, staff classifications, venue parameters, and program notes), and any additional information provided in project inquiries.

Please do not submit sensitive personal information (such as government identification numbers, financial account numbers or health information) through the Site's contact forms. We do not request it and do not need it to prepare a staffing quote.

When you visit the Site, our hosting and privacy-first analytics tools automatically log essential technical diagnostic data. This includes IP address, browser type, device type, referring URL, pages viewed, dwell time (duration spent on specific sections or pages), and aggregate engagement patterns across the Site.

We utilize session and performance analytics solely to evaluate user experience, optimize site functionality, and measure content engagement — such as understanding which capability decks or case studies visitors view longest.

We do not sell your personal data or tracking information. We do not engage in third-party cookie sales, cross-site behavioral retargeting, or profile-building for advertising networks. All site analytics are processed in aggregate or de-identified formats exclusively for internal site performance analysis.

We use only the cookies and similar technologies necessary to operate the Site and to measure aggregate usage. You can control cookies through your browser settings; disabling them may affect Site functionality.

We use the information we collect to respond to quote requests and prepare staffing proposals, headcounts and pricing, and to communicate with you about an active or prospective activation, including scheduling, staffing changes, on-site logistics and post-event recaps. We further use it to negotiate, execute and perform staffing agreements and statements of work, to invoice, process payment and maintain financial and tax records, and to source, brief and assign field talent to your program.

We also use your information to send occasional business updates about our services, which you may opt out of at any time, to maintain the security, integrity and performance of the Site, and to comply with our legal, regulatory, insurance and contractual obligations.

We do not sell your personal information, and we do not share it with third parties for their own independent marketing purposes.

By providing a mobile number in our contact form, by texting us, or by otherwise giving express written consent, you agree that SETS LLC may send you text messages related to your staffing inquiry and any resulting engagement — including quote follow-ups, staffing confirmations, scheduling changes and day-of-event coordination.

Consent is not a condition of purchase. You are not required to agree to receive text messages in order to receive a quote or engage our services. Message frequency varies based on the status of your inquiry or active program, and message and data rates may apply.

Reply STOP to any message to opt out of further text messages, or reply HELP for assistance. You may also contact us at Info@SetsActivations.com. Opting out of text messages does not opt you out of email or phone communications necessary to service an active engagement. Carriers are not liable for delayed or undelivered messages, and delivery remains subject to effective transmission by your mobile carrier.

We do not sell, rent or share mobile numbers or SMS consent data with third parties or affiliates for their marketing purposes. Mobile numbers are shared only with the messaging service providers required to deliver our messages to you.

We disclose information only in the circumstances described in this section.

Service providers. We share information with the hosting, email, analytics, messaging, scheduling, e-signature, accounting and payment providers that process it on our behalf under contractual confidentiality obligations.

Field talent and field managers. The operational details needed to staff and execute your activation — such as venue address, call times, uniform requirements and program brief — are shared with assigned personnel.

Professional advisors and insurers. We share information with counsel, accountants and insurance carriers where reasonably necessary.

Legal and safety. We disclose information where required by law, subpoena or legal process, or to establish, exercise or defend legal claims, or to protect the rights and safety of any person.

Business transfers. We may transfer information in connection with a merger, acquisition, financing or sale of assets, subject to this policy.

We keep information only as long as it serves a legitimate business or legal purpose, applying the retention periods described in this section.

Quote requests that do not become engagements are retained for up to twenty-four (24) months from the last contact, so we can reference prior scoping if you return to us, and are then deleted or anonymized.

Active and past client engagements generate contract, staffing, scheduling and recap records, which we retain for the duration of the relationship and for up to seven (7) years thereafter, consistent with tax, insurance, employment and contract-limitations requirements.

SMS consent and opt-out records are retained for as long as needed to honor your preference and to demonstrate compliance with applicable messaging regulations.

Site analytics are retained in aggregate or de-identified form.

We may retain information longer where required by law or where necessary in connection with an actual or anticipated dispute.

You may unsubscribe from marketing email using the link in any such message, opt out of text messages by replying STOP, and request access to, correction of, or deletion of the personal information we hold about you.

Depending on your state of residence, you may have additional rights under applicable privacy laws, including the right to confirm whether we process your personal information, to obtain a copy of it, to correct inaccuracies, to request deletion, to opt out of sale or targeted advertising (we do neither), and to appeal a denial of a request. To exercise any of these rights, email Info@SetsActivations.com with the details of your request. We will verify your request using the contact information already associated with your inquiry and respond within the timeframe required by applicable law.

We will not discriminate against you for exercising any privacy right. Note that we may need to retain certain records to complete an engagement or meet a legal obligation.

We use commercially reasonable administrative, technical and physical safeguards to protect information, including encrypted transmission, access controls and vendor due diligence. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. Please do not send confidential information to us through unsecured channels.

The Site may link to third-party websites or client properties that we do not control. Their privacy practices are governed by their own policies. When we staff an activation on behalf of a client, information that attendees provide directly to that client at the event is governed by the client's privacy policy, not ours.

The Site is intended for business use by adults. We do not knowingly collect personal information from anyone under eighteen (18) years of age. If you believe a minor has provided us information, contact us and we will delete it.

SETS LLC operates in the United States and stores information on servers located in the United States. If you access the Site from outside the United States, you understand that your information will be processed in the United States under United States law.

We may update this Privacy Policy from time to time. The revised version takes effect when posted, and the “Last Updated” date above will change accordingly. Material changes will be highlighted on this page. Continued use of the Site after an update constitutes acceptance of the revised policy.
